Full Job Description

The role of the Office Manager is to ensure that our clients receive the best service possible, and our Investment Managers and Financial Planners are fully supported in providing the best Wealth Management and advice.

The Office Manager will support senior leaders (Head of Office/Team Leaders) by identifying their needs and delivering an efficient office service through own and team's activities.

This is a permanent role based in Newcastle. This vacancy has become available due to an internal move within the business.

Responsibilities Include:

  • Line management responsibility for all administrative functions within the Office.

  • Assist with the daily operational management of the office and lead on the delivery of projects with the office.

  • Liaising with all business areas of the group.

  • Lead and manage the Administrative Team.

  • Help develop accurate and timely MI for the Head of office and team leaders, to monitor progress against the Business Plan.

  • Prepare reports for the monthly management meetings.

  • Assist the Head of office in managing central projects

  • Help drive efficiencies across the office, ensuring your team adheres to all Company Policies and Regulatory Codes of Conduct.

  • Facilitate meetings to bring awareness of crisis management procedures to the department.

  • Prepare agenda for the monthly Senior Management meeting; attend in order to take minutes and actions, then distribute in a timely fashion. Maintain adequate records.

  • Exceptional attention to detail, consistently works to high standards of output and quality.

  • Ability to communicate effectively with people at all levels of the organisation, including verbal and written communications.

  • Ability to resolve issues creatively and in a timely manner.

  • Comfortable working in a fast paced and dynamic environment.

  • Able to use appropriate methods to ensure identification, resolution and/ or escalation routes to resolve the problem or situation.

  • Stakeholder management skills, with the ability to build and maintain strong relationships with colleagues and clients across the business and beyond.

  • A level of Business or Office Management experience in Financial Services or Wealth Management would be preferable.

  • Excellent working knowledge of Microsoft Office products such as Word, Excel and PowerPoint.
